Position Overview: 

The Finance Clerk supporting the maintenance department serves as a vital link between finance and maintenance operations at ADL, reporting to the Corporate Controller. This role focuses on financial tasks such as data entry, coding and processing invoices, generating reports, and tracking project costs for both capital expenditures and maintenance. The position requires strong attention to detail, excellent organizational skills, and effective communication to ensure financial records align with both departmental and organizational goals.

Key Responsibilities:
  • Code and process invoices related to capital expenditures and repairs and maintenance, ensuring proper documentation and approvals.
  • Organize and maintain financial records for maintenance, including scanning documents into the e-maintenance system.
  • Ensure timely month-end close processes and coordinate with the maintenance department on open work orders and outstanding invoices.
  • Assist in reconciling expenditures between maintenance and financial systems.
  • Prepare monthly reports on variances and capital expenditures compared to budgeted costs and quotes.
  • Perform additional duties as required.

Qualifications:
  • Experience in finance, accounts payable, or a similar administrative role preferred.
  • Proficiency in MS Office, including Excel, Word, and Outlook.
  • High School Diploma or equivalent; any coursework in accounting or finance is a plus.
  • Strong organizational skills and attention to detail.
  • Effective communication skills to work effectively with both finance and maintenance teams.
  • Familiarity with finance or maintenance software is helpful but not required.
